Regalia Travels understands that travel plans may change due to unforeseen circumstances. This Refund and Cancellation Policy outlines the terms and conditions applicable to cancellations and refunds for all bookings made through our services.

2. Tour Package Cancellation Policy
2.1 Domestic Tour Packages
Cancellation charges for domestic tour packages are as follows:

2.3 Peak Season / Festival Period
During peak travel seasons (Diwali, Christmas, New Year, Summer Vacations) and special events, stricter cancellation policies apply:
- Cancellations before 60 days: 25% cancellation charges
- Cancellations between 59-30 days: 50% cancellation charges
- Cancellations less than 30 days: 100% cancellation charges (No Refund)
3. Flight Booking Cancellations
Flight cancellation policies are governed by the respective airline's terms and conditions. Regalia Travels will assist with cancellation processing but charges depend on:
- Airline Cancellation Policy: Each airline has its own cancellation rules and charges
- Ticket Type: Non-refundable tickets may not be eligible for any refund
- Fare Rules: Some promotional fares have strict no-cancellation policies
- Service Fee: ₹500 per passenger service fee by Regalia Travels for processing cancellations
Note: Airline cancellation charges typically range from ₹3,000 to ₹6,000 per passenger for domestic flights and $100 to $300 for international flights, depending on the airline and fare type.
4. Hotel Booking Cancellations
Hotel cancellation policies vary by property and booking type:
- Free Cancellation: Some hotels offer free cancellation up to 24-72 hours before check-in
- Non-Refundable Bookings: Discounted rates are usually non-refundable
- Partial Refund: Hotels may retain one night's charge for late cancellations
- Service Fee: ₹300 per room per night service fee by Regalia Travels for processing cancellations
We will communicate the specific cancellation policy of your chosen hotel at the time of booking confirmation.

6. Bus and Train Booking Cancellations
Bus and train ticket cancellations follow the respective operator's/railway's cancellation policy:
- Indian Railways: As per Indian Railways refund rules (varies by ticket type and time of cancellation)
- Bus Operators: Typically 10-50% cancellation charges depending on time before departure
- Service Fee: ₹100 per ticket service fee by Regalia Travels for processing cancellations
7. Visa and Passport Service Cancellations
Visa and passport service fees are non-refundable once the application process has been initiated with the embassy or passport office. This includes:
- Government visa fees
- Embassy appointment charges
- Document processing fees
- Service charges for visa assistance
If the application has not been submitted yet, a refund may be possible after deducting a ₹1,000 processing fee.
8. Travel Insurance Cancellations
Travel insurance cancellation and refund policies are determined by the insurance provider. Generally:
- Free-Look Period: 15-day free-look period from policy issuance for full refund
- After Free-Look Period: No refunds unless policy has not started
- Cancellation requests must be made directly to the insurance company
9. Refund Process and Timeline
9.1 Refund Eligibility
Refunds will be processed only after:
- Written cancellation request is received and acknowledged
- Cancellation confirmation is obtained from service providers (airlines, hotels, etc.)
- Applicable cancellation charges are calculated
- All original documents and vouchers are returned (if issued)
9.2 Refund Mode
Refunds will be processed to the original payment method:
- Credit/Debit Card: Refund to the same card used for booking
- Net Banking/UPI: Refund to the source bank account
- Bank Transfer: Direct bank transfer (requires account details)

Note: Additional 5-7 working days may be required for the refund to reflect in your bank account/card statement, depending on your bank's processing time.
10. Modification and Rescheduling
10.1 Tour Package Modifications
- Changes in travel dates are subject to availability and may incur additional charges
- Modification fee: ₹1,000 per person plus any difference in package cost
- Name changes: Not permitted once booking is confirmed
- Hotel/flight upgrades: Subject to availability and additional cost
10.2 Rescheduling Policy
Rescheduling requests must be made at least 15 days before the original departure date:
- One-time rescheduling allowed with ₹2,000 per person rescheduling fee
- New travel dates must be within 6 months of original booking
- Price difference (if any) must be paid at the time of rescheduling
- Rescheduling not permitted during peak seasons
11. Special Circumstances
11.1 Medical Emergencies
In case of medical emergencies preventing travel:
- Medical certificate from a registered practitioner required
- Reduced cancellation charges may apply (minimum 15% administrative fee)
- Travel insurance claims should be filed directly with insurance provider
11.2 Natural Disasters and Force Majeure
In case of natural disasters, pandemics, political unrest, or other force majeure events:
- Regalia Travels will make best efforts to reschedule the tour
- Refunds will be processed as per service provider policies
- If no refund is available from suppliers, only unutilized services may be refunded
- Travel insurance is highly recommended for such situations
11.3 Visa Rejection
If visa is rejected by the embassy:
- Provide visa rejection letter within 48 hours
- Flight tickets and hotels will be cancelled as per respective policies
- Package amount minus cancellation charges will be refunded
- Visa fees and service charges are non-refundable
12. No-Show Policy
No-show (failure to arrive for departure without prior cancellation):
- 100% cancellation charges apply (no refund)
- All bookings will be automatically cancelled
- No refund or credit note will be issued
- Travel insurance may cover no-show under certain conditions
13. Group Booking Cancellations
For group bookings (10+ passengers):
- Special cancellation terms apply as per group booking agreement
- Partial cancellations may be permitted (subject to minimum group size)
- Contact our group booking department for specific policies

- All cancellation requests must be in writing (email/letter)
- Cancellation charges are calculated from the date we receive written notice
- Refunds do not include payment gateway charges (2-3% of booking amount)
- Refund amount may vary based on supplier policies

- We strongly recommend purchasing travel insurance to protect against unforeseen cancellations
- All refund timelines are approximate and subject to bank/payment gateway processing

15. Cancellation Request Process

- Reason for Cancellation: Brief explanation (optional but helpful)
- Await Confirmation: We will send cancellation acknowledgment within 24 hours

- Refund Processing: Refund will be initiated as per timeline mentioned above
16. Dispute Resolution
In case of any disputes regarding cancellations or refunds:

- We will investigate and respond within 10 working days
- If unresolved, you may escalate to our senior management
- All disputes are subject to the jurisdiction of Mumbai courts
